Project review

Pro

So that Focus one doesn’t become a graveyard for old tasks, you review your projects regularly.

Why a regular review matters

The regular review is a central tool. Your mind only lets go of a task when it is sure the task won’t get lost in the system. That requires your lists to be complete and up to date. Without a review, finished, outdated and forgotten tasks pile up. The lists become cluttered, you stop trusting them and start keeping everything in your head again. The review keeps the system current, so you can rely on it and keep your mind free.

The review keeps Focus one alive:

  • You spot what is done, outdated or was never important, and clear it out.
  • You check that every project has a clear next step.
  • You pick up anything stuck in “Waiting for” and “Someday”, or consciously decide to leave it.
  • You see the big picture and choose again what to concentrate on.

Set a fixed time for it, for example half an hour every Friday. The interval per project and the red dot remind you.

How the review works

  1. Set the interval. In each project’s settings you choose the review interval, for example weekly or monthly. The default is one week. With 0 you turn off the review for that project.
  2. Red dot. When a project is due, a subtle red dot appears to the left of its name.
  3. Review. Update dates, delete what is done or outdated, and choose again what matters.
  4. Confirm. The “Mark as reviewed” button below the last task completes the review. The interval starts over.

Pro. The review is a Pro feature. You turn it on under Settings → Planning with “Regular review of projects (Pro)”; you set the interval per project.
